Meeting agenda templates
A good agenda is short, has a clear order and shows what each part is for. These templates give you a tested structure for four common meetings, with times you can change, a worked example and advice on running each one.
- Weekly team meeting agendaA 30 minute weekly meeting: check-in, last week's actions, priorities, blockers and decisions.
- One-on-one meeting agendaA 30 minute one-on-one: check-in, their topics first, priorities, feedback and next steps.
- Project kickoff meeting agendaA 60 minute kickoff: goals, scope, roles, timeline, risks and next steps.
- Sprint retrospective agendaA 60 minute retrospective in five steps: set the stage, gather data, insights, decisions and close.
What makes an agenda work
An agenda is a promise about how a meeting will use people's time. The best ones state the outcome, not just the topic, put the most important item first and give every item a time. If an item has no owner or no decision to make, it probably belongs in a message instead.
Before you copy a template, check the cost of the meeting with the meeting cost calculator, and plan the people involved across places with the time zone meeting planner. Start well with an icebreaker question, and read our guide on cutting meeting costs.
